Transferring Students Between Family Accounts

Merge Family Accounts

Overview

You cannot move students from one family to another family. There are three alternative options for this scenario.

The Hubbard Way

Option 1

"Guardian A" can approve of "Guardian B" permanently taking over the account. "Guardian A" will no longer have access or be eligible to gain access to this account as it is now "Guardian B's" only. 

  1. Change all the info over to "Guardian B". 
  2. Remove payment information.
  3. Add family note that "Guardian A" has approved "Guardian B" taking over the account.
  4. Policies that have been automatically reset due to the change in primary ownership of the account. "Guardian B" must log in to accept and add payment information.

Option 2

"Guardian A" wants to maintain their current account. 

  1. "Guardian B" will create their own account profile with their student and accept policies. 
  2. Staff will manually enter:
    • Skills & Ribbons
      Add Student Note: 
      Subject: Transfer from <location>. 
      Comment: Skills transferred.
      You can only add skills for the current level due to past levels not being enrolled on this new account. 
    • Relevant Family Notes
    • Relevant Student Notes
    • Medical Conditions
    • Makeup Tokens  Be sure to use the same expiration date and remove MUT from the old account
  3. History will remain different for each Guardian account to manage themselves.
  4. Note the child's first name with who owns the account.
    ex:  Shane (mom account) Blaylock & Shane (dad account) Blaylock,  or  Javier (aunt account) Nunez  Javier (gma account) Nunez
  5. Add family notes for each account that each Guardian has their own account and the other does not have access.
  6. Create your new enrollment and end the old one as needed.

Option 3

Both Guardian are on the one account and manage the account together with full transparency.
